THE INTERNATIONAL MEDICAL INTERDISCIPLINARY CONGRESS

„iMEDIC 2023, Bydgoszcz – 6th Edition”



§1

General Regulations

  1. The International Medical Interdisciplinary Congress (hereinafter “the Congress”/”the Conference”) – iMEDIC 2023, Bydgoszcz is a review of scientific attainments and a competition amongst the best scientific researchers.

    The conference is open to the following individuals:

    1. students,

    2. PhD students,

    3. residents,

    4. graduated one year prior.

      There are two types of sessions at the conference:

      1. in the form of on-site presentations (Power-Point presentation and Posters presentation),

      2. online sessions. The online session is only for those who either do not attend or attend a university outside of Poland.

  2. The Congress is organized by the Organizing Committee appointed by the Board of the Students’ Council and PhD Students’ Council at the Ludwik Rydygier Collegium Medicum in Bydgoszcz, Nicolaus Copernicus University in Toruń (hereinafter “the Collegium Medicum”).

  3. The Congress will be held in person on 27th of May, 2023 at the campus of the Collegium Medicum in Bydgoszcz (Sklodowska-Curie 9, Bydgoszcz, Poland).

  4. The official language of the Congress is English. All works must be prepared and presented in the beforementioned language to the public, and will be subject to the assessment of the members of the Scientific Committee.


§2

The General Structure of the Conference

  1. The Scientific Sessions are divided into three sections: Original Research Sessions, Review Sessions and Case Study Sessions.

  2. Original Research Sessions, Review Session and Case Study Sessions will be organized in the form of on-site presentations.

    On-line participation is possible only for foreign participants.

  3. The works accepted by Congress are only those that have not been presented at any scientific conference before and whose research findings have not been published in any scientific article.

  4. The Congress will accept works from the following fields (please note that these fields do not define the session types):

    • Anaesthesiology, Intensive Care & Emergency Medicine

    • Basic & Preclinical Science

    • Cardiology & Cardio Surgery

    • Clinical Nutrition

    • Dermatology and Sexually Transmitted Diseases

    • Endocrinology & Diabetes

    • Genetics & Molecular Biology

    • Geriatric & Palliative Medicine

    • Gynaecology & Obstetrics

    • Haematology & Oncology

    • Internal Medicine



    • Medical Law & Forensic Medicine

    • Neurology & Psychiatry & Neurosurgery

    • Nursing & Public Health

    • Physiotherapy & Orthopaedics & Sports Medicine

    • Otolaryngology & Ophthalmology

    • Paediatrics & Neonatology

    • Pharmacy & Laboratory Diagnostics & Microbiology

    • Case report (Surgical)

    • Case report (Non-Surgical)

    • PhD Session.

  5. Sessions will be created based on the abovementioned fields of science.

  6. During the Congress sessions will be held based on the number of works submitted for each particular field of science. Specific sessions held during the congress will be announced at a later date by the Organizing Committee.

  7. The PhD Session is an additional session addressed to PhD students who have not yet defended their thesis.

  8. The Organizing Committee reserves the right to cancel the session and/or to transfer the paper from the cancelled session to a session most closely related to the paper’s topic.

  9. The authors of all papers can be students, PhD students, residents and graduated one year prior.


§3

Deadlines

  1. 28th of April, 2023 – the deadline for abstract submission/registration of active participants (the Organizing Committee reserves the right to postpone the final deadline of abstract submission/registration).

  2. 7th of May, 2023 – the deadline for registration of passive participants.

  3. 10th of May, 2023 – the deadline for receiving email with confirmation of qualification and payment information.

  4. 15th of May, 2023 – the deadline for settlement of the participation fee for active and passive participants (banking operations may take up to 2 days, please be sure to make the payment such that it arrives to the Congress’ account before the deadline)

  5. 21th of May, 2023 – the deadline for sending presentations/posters to the Session Coordinators.


§4

Participation and Fees

  1. Payment for the registration fee must be made prior to the conference. The fee covers access to all scientific sessions, conference materials, and refreshments during breaks. Accommodation, travel expenses and printing the poster are not included in the registration fee.

  2. An active participant is a person who has delivered a paper and paid the congress fee in order to receive congress materials, and with opportunities to participate in other events. An active participant receives a certificate (name, surname, theme, and co-authors).

  3. A passive participant is a person who has not delivered a paper or who is the co-author of any paper and has paid the participation fee. Passive participants receive a certificate of passive participation in the Congress.

  4. A free listener is a person who has not delivered a paper nor paid the registration fee and has access only to thematic sessions. Free listeners do not have to register. A free listener is restricted to accessing the function only while present on the premises of Collegium Medicum in Bydgoszcz.


  5. The Congress Fee is obligatory for both the active and passive participants. The amount of the fee is:


    • 150 PLN or ~33€ or ~39$ – participants from abroad and from universities other than the Collegium Medicum,

    • 100 PLN or ~22€ or ~26$ – participants of the Collegium Medicum.


  6. Details about the payment will be included in an email with confirmation of qualification (do not confuse with confirmation of registration) sent to the participants not later than 10th of May, 2023.

  7. Qualified people who will not pay congress fees on time will be disqualified from active and/or passive participation and may only participate as free listeners (the paper will be withdrawn).

  8. The Congress Participant (who has registered, has been accepted, and has paid the registration fee) has the right to withdraw from the contract and receive a refund of the conference fee. The date of conclusion of the contract is the day on which the participant will receive an email confirming registration for the conference (do not confuse with confirmation of qualification). In case of cancellation, the registration fee will be refunded in accordance with the cancellation policy.


§5

Scientific Papers and Their Authors

  1. Eligible works are original research, case reports, and review papers, but the original research papers and case reports have priority to appear at the conference.

  2. In all sessions except PhD sessions, the presenter has to be an undergraduate or master’s student or graduate, within one year of graduation.

  3. The abstract may not be longer than 3,000 characters including spaces. The title and internal titles (introduction, the aim of the study, etc.) are not included in the count.

  4. The abstract for original research and review papers must consist of 5 parts: introduction, the aim of the study, material and methods, results, conclusion.

  5. The case report must consist of 3 parts: background, case report, conclusions.

  6. The paper shall be sent to the Congress by an electronically submitted form (including an abstract in English) until 28th of April, 2023.

  7. The abstract may not contain tables, graphs or drawings.

  8. Papers submitted to the Congress are reviewed by the Scientific Committee for being eligible for the presentation. The Scientific Committee’s decision rejecting the work is final and unappealable.

  9. The Scientific Committee may override participants’ decision of choosing a session and assign it to be chosen as appropriate.

  10. The results of qualification or rejection will be announced by the 10th of May, 2023.


§6

Principles of Presentations

All participants of the sessions are obliged to adhere strictly to the schedule. The Organising Committee, Scientific Committee and Session Coordinator reserve the right to interrupt the presentation and/or discussion shall the time limit be exceeded.

Original research, case reports, review papers.

  1. The authors of accepted scientific papers may present their work in the form of oral presentations.

  2. Every participant can submit up to 3 works, but at maximum 2 of them may be presented during the Congress.

  3. The presentation time is set at 10 minutes, while 3 additional minutes are meant for the discussion of the paper.


  4. Multimedia presentations may be prepared using any application, however, the use of Microsoft Office PowerPoint or Adobe Reader is recommended. The organizers do not take responsibility for technical difficulties or malfunction of presentations, which may arise due to incompatibility of files.

  5. The presentations should be prepared in PowerPoint and PDF format and sent to Session Coordinators before 21th of May, 2023.


Posters (Original Research Sessions, and Case Study Sessions).

  1. The presenting author discusses the work in form of an oral presentation during a dedicated session.

  2. The presentation time is set at 5 minutes, while 2 additional minutes are meant for the discussion of the paper.

  3. The authors of the qualified works are required to prepare a poster according to the following rules:

    • A1 size of the poster

    • Charts/tables/drawings should occupy at least 30% of the poster area.

    • The most important elements of the work should be highlighted via accented colours.

  4. The poster should be prepared in PDF and PowerPoint format and sent to Session Coordinators before 21th of May, 2023.


§7

Jury and Awards

  1. The Organizing Committee appoints the Session Coordinators, whose task is (in agreement with the beforementioned) to organize and prepare sessions of the Congress as well as to appoint the Reviewers and the Scientific Committee.

  2. All works presented at the Congress are subjects of judgement by the Scientific Committee. The Scientific Committee consists of academics with degrees equal or higher to the degree of doctor.

  3. Presentations will be judged by a Jury properly selected for each scientific session. Each session has a Jury, consisting of acknowledged specialists in a particular field.

  4. Presentations will be judged by the Jury in the following categories: method of presentation, substantive values, attractiveness of the subject, and independence of work. From the final score determined by the Jury, the Coordinator(s) of the session subtract points for exceeded time of presentation. The rating of the Scientific Committee is final and unquestionable.

  5. In each session, the Jury selects and awards at least one, but no more than 3, best presentation awards (1st place, 2nd place, 3rd place). In a situation where two or more presentations have the same score, they will be awarded ex aequo.

  6. Under no circumstance can the Session Coordinators take any place as the winner of a particular session which they coordinate. The Session Coordinators may take part and present a work during the session coordinated by them, but their shall not qualify for overall rating in the beforementioned session.

  7. Awards for the best presentations within sessions will be granted during the closing ceremony.


§8

Certifications

  1. The certification options include electronic form, paper, and paper form with conference items, with additional shipping fees for shipping abroad of the Republic of Poland.

  2. All participants are obliged to pick up the participation certificate at the day of the Congress.

  3. Any issues regarding the certificate should be reported to the organizers at the day of the Congress.


§9

Post-Conference Service

  1. All issues/problems/requests shall be issued to the Organising Committee only at the day of the Conference.

  2. All issues/problems/requests reported after the day of conference will not be resolved.


§10

Final Provisions

  1. By registering for iMEDIC 2023, the attendees agree to abide by these regulations. The submission of a work constitutes the acceptance of all above Rules, as well as consent to the processing of personal data and image for organizational purposes and promotional materials by the Organizing Committee.

  2. Interpretation of the Rules of Procedure and Settlement of Disputes and problems which are not included in the abovementioned Regulations is reserved only to the Organizing Committee.


§11

Amendments

  1. These regulations may be subject to amendments or modifications at any time.

  2. Any changes to these regulations will be communicated via the conference website.
